Workforce operations

Workforce management software for distributed, hybrid and field teams.

OnTym is a workforce management platform that keeps your people, work locations, attendance, work patterns, leave and reporting lines in one place — so you can see the state of the workforce today instead of assembling it from four different tools.

  • Office, hybrid and field work modes
  • Teams, departments and reporting managers
  • Attendance, leave and payroll-ready totals

What is workforce management software?

Workforce management software is the operational layer between your employee records and the work itself. It holds where people work, when they are expected to work, who they report to, whether they are available, and what actually happened on each day — in one system rather than several.

The coordination problem it solves

Once a company runs more than one office, or mixes desk work with field work, the day-to-day questions stop having easy answers. Who is on site today. Who is working remotely. Who is on leave next week. Which manager approves this. Whose hours go into this month's payroll. Each answer usually lives in a different sheet, owned by a different person.

How OnTym coordinates it

OnTym uses one employee record across every product. The office an employee belongs to, the work mode they are allowed, their reporting manager, their attendance history and their leave all hang off that record — so a change in one place is a change everywhere, and the daily workforce picture is a read rather than a reconciliation.

Capabilities

Manage your workforce in one place

Every item below is shipped in OnTym today. There is no rostering engine, biometric hardware integration or productivity monitoring here — those are deliberately not part of the product.

One employee directory

Every person the company employs sits in one directory with their code, designation, department, office, reporting manager and employment status.

Work locations and modes

Office locations with coordinates and an allowed radius, plus a company attendance mode that decides whether remote and hybrid work counts.

Company work pattern

Shift start and end, working days, late check-in cutoff, auto-logout time and timezone — applied consistently to every attendance record.

Daily workforce state

Who checked in, who is late, who is on a half day, who checked in remotely and who is on approved leave today, in one dashboard.

Teams and reporting lines

Departments, designations, teams and a reporting manager per employee, so approvals and visibility follow the structure you already run.

Availability and holidays

Approved leave, company holidays and optional holidays share one calendar, so availability is visible before work is committed.

Corrections and approvals

Regularisation requests fix a missed or wrong attendance entry, and leave decisions carry the approver and their note on the record.

Payroll-ready totals

Present days, working days, half days, leave and hours beyond the shift length roll up into an exportable attendance register.

Role-based access

Employee, reporting manager, HR and company admin scopes are enforced in the backend, not just hidden in the interface.

Workforce management is one part of the platform. See everything OnTym covers

Work locations

Office, hybrid and field workforce

Companies do not all work the same way, so the work mode is a company setting rather than an assumption. OnTym supports four modes, and each one changes how a check-in is evaluated against your office locations.

Office only

A check-in has to fall inside the allowed radius of one of your office locations. Anything outside it is rejected, so on-site attendance stays on-site.

Hybrid

Inside an office radius the day is recorded as office work; outside it the day is recorded as remote, when remote attendance is enabled for the company.

Remote allowed

Distributed staff can check in from wherever they are working, and the record keeps the captured location alongside the time.

Optional location

For teams where coordinates are not the point, location capture can be relaxed while the times, hours and daily status are still recorded.

Office locations are created with an address, coordinates and an allowed radius in metres. When someone checks in, OnTym measures the distance to the nearest active office and decides — from the company work mode — whether the day is office work, remote work, or not permitted at all.

Visibility

Attendance and workforce visibility

Workforce visibility starts with an accurate daily record. OnTym derives the day's status from the company work pattern — present, late, half day, early check-out or absent — and rolls those days up across the company, department and office.

What you can see today

  • Today's check-ins, late arrivals and remote check-ins
  • Who is on approved leave right now
  • Missing check-outs and early check-outs with reasons
  • Attendance across a date range, per employee or team

The rules behind those statuses — grace periods, shift times, regularisation approvals and the exportable register — are covered in detail on attendance management software.

Structure that approvals follow

Each employee carries a department, designation, office, team and reporting manager. Those fields are not decoration — they decide whose leave request a manager sees, whose attendance appears in their range view, and which slice of the workforce an HR manager or company admin can act on.

One directory, one login

There is a single employee directory and a single sign-in for the whole platform. Product access and platform roles are managed centrally, so nobody maintains a second list of users per module.

People and structure

Employees, teams and managers

The workforce is only as manageable as the directory behind it. Records, departments, documents and lifecycle status are covered on employee management software, and this page is about putting that structure to work day to day.

Availability

Leave, holidays and availability

Knowing who is working is only half the picture; the other half is knowing who is not. Approved leave, company holidays and optional holidays sit on one shared calendar and feed the same daily view as attendance.

Leave requests and balances

Employees apply themselves and see remaining days per leave type; the request routes to their reporting manager or HR for a decision.

Holidays and working days

Company holidays and the working-days setting are applied when leave days are counted, so a request costs what it should.

Who is away, at a glance

Approved leave for today and the days ahead is visible next to attendance, so absences read as planned rather than unexplained.

Policies, approval chains and balance rules are covered on leave management software.

Month end

Payroll-ready workforce data

Workforce data has a deadline once a month. Because attendance, leave and the employee record share one system, the month-end numbers are derived rather than collected.

  • Present days, half days and leave days per employee
  • Working days for the period from your company calendar
  • Hours recorded, and hours beyond the shift length
  • An attendance register exported as CSV for the period

Salary structures, monthly runs and payslips live in the finance side of the platform — see payroll software.

Employee experience

Workforce management the team actually uses

A workforce management system only holds together if the people in it keep it up to date. In OnTym the employee does the entry, from their own workspace, on the device they already carry.

Check in where the work is

Check-in and check-out happen in the browser on a phone — OnTym installs as a progressive web app rather than a separate native download. The mobile check-in experience for office, hybrid and field staff is covered on the employee attendance app page.

Self-service, not HR tickets

Employees see their own attendance history, apply for leave, raise a correction and open their payslips without emailing anyone. The full employee-side view is described on the employee self-service portal page.

How it works

How workforce management works in OnTym

Five steps, each of them something the product does today — set the pattern once, then let the workforce data maintain itself.

  1. Step 1

    Set up the company

Add your working days, shift times, timezone, late check-in cutoff and holiday calendar once, at company level.

  2. Step 2

    Add offices and work mode

Create each office location with its coordinates and allowed radius, then pick the attendance mode that matches how your teams actually work.

  3. Step 3

    Build the directory

Invite employees and set department, designation, office, team and reporting manager, so structure and approval paths exist from day one.

  4. Step 4

Teams work from their own workspace

Employees check in and out, apply for leave and raise corrections themselves; managers approve from their own queue.

  5. Step 5

    Review and export

Read the daily and monthly workforce picture in dashboards, then export the attendance register when payroll or an audit needs it.

Why OnTym

Why run workforce management on one platform?

Most workforce problems are integration problems. OnTym avoids them by keeping the directory, the attendance record, availability and payroll inputs in the same system, under one login and one set of roles.

  • One employee record behind attendance, leave, teams and payroll data
  • Work locations and work modes defined once and applied to every check-in
  • A daily view of who is present, late, remote or away without chasing anyone
  • Approvals that follow your real reporting lines instead of a mailbox
  • Month-end attendance totals exported instead of rebuilt in a spreadsheet
  • One login for employees, managers, HR and admins across every product
Who it's for

Who uses OnTym for workforce management

The same workforce management platform fits a single-office company of twenty and a multi-office team with staff in the field every day.

Growing companies

A first structured system for employee operations, with more OnTym products switched on as headcount and process maturity grow.

Hybrid and distributed teams

Hybrid mode separates office days from remote days automatically, so a split week is recorded rather than reconstructed later.

Field and on-site teams

Staff working away from a desk check in from their phone, and the record keeps the location the check-in was captured with.

Multi-office companies

Each office carries its own coordinates and radius, and employees are assigned to the office they actually report to.

FAQ

Workforce management questions

What is workforce management software?

Workforce management software is the system a company uses to coordinate its people day to day — who works where, when they are working, who reports to whom, who is available and who is away. In OnTym that means one employee directory, attendance across office, hybrid and field work modes, company work patterns and holidays, leave and availability, and role-based dashboards that show the current state of the workforce.

How is a workforce management system different from attendance software?

Attendance software answers one question: was this person present, and for how long. A workforce management system uses that answer as one input among several. OnTym combines attendance records with work locations and work modes, the employee directory, departments and reporting lines, leave and holidays, and payroll-ready totals — so the same data supports scheduling decisions, approvals and month-end reporting rather than just a daily register.

Does OnTym support office, hybrid and field teams?

Yes. Each company chooses an attendance mode: office only, hybrid, remote allowed, or optional location. Admins add office locations with coordinates and an allowed radius, and OnTym checks a check-in against the nearest office to decide whether it counts as office or remote work. Field and travelling staff can be permitted to check in away from an office, and every record keeps the location it was captured with.

Can OnTym manage shifts and working days?

OnTym holds a company-level work pattern: shift start and end times, the set of working days, a late check-in cutoff, an auto-logout time and the company timezone. Attendance is evaluated against that pattern, so late arrivals, half days, early check-outs and hours beyond the shift length are derived automatically. OnTym does not build employee rosters, assign per-person shifts or handle shift swapping.

How do managers get visibility into their team?

A reporting manager sees their direct reports, today's attendance for those reports with check-in time, hours and location, attendance across a date range, and pending leave requests to approve. Company admins and HR see the same picture across every department and office. Access is role-based and enforced in the backend, so a manager sees their own team rather than the whole company.

Is OnTym workforce management software suitable for growing companies?

Yes. OnTym is built around one organisation, one employee directory and one login, with products switched on as they are needed. A company can start with the employee directory, attendance and leave, then add payroll, expense claims or project management later without moving employee data or asking staff to learn a second tool.
